Six Phrases, a premium upskilling and professional training brand under Veranda Learning, operates at scale across colleges, universities, enterprises, and institutional clients in India. With multi-location program delivery, hundreds of faculty members, complex scheduling, and strict financial governance requirements, Six Phrases required a deeply structured CRM and operations platform—far beyond a traditional sales CRM.

To address this need, Webkype designed and implemented a custom CRM and Operations Management system that governs the entire post-sales execution lifecycle, from program activation to delivery, expense control, profitability tracking, and audit readiness.

The platform was built as a single source of truth for sales, operations, finance, and management—ensuring discipline, transparency, and scalability across Six Phrases’ growing education ecosystem.

India’s professional and institutional learning market is expanding rapidly, driven by employability-focused education, industry-aligned programs, and outcome-based training models. Organizations like Six Phrases operate in a high-accountability environment, where execution quality, faculty performance, cost control, and reporting accuracy directly impact profitability and brand trust. Before this transformation, execution workflows relied heavily on manual coordination, spreadsheets, and disconnected tools—creating operational risk, limited visibility, and delayed decision-making.

The objective was clear:
build a centralized CRM-driven operations platform that enforces discipline, automates execution, and provides management with real-time visibility.

In 2023, Veranda acquired Six Phrases, an execution-centric education delivery brand, to deepen its operational services and strengthen its access to campus and corporate performance skilling. This acquisition required a repeatable, auditable, and scalable operations platform capable of supporting tens of thousands of program delivery instances across geographies—something that existing systems could not support.

 

Project Scope — CRM & Operations Lifecycle Automation
The scope of this project was structured across execution, delivery, finance, compliance, and reporting, tightly integrated with the CRM foundation. Core Scope Included:

  • CRM as the single source of truth
  • Program activation and master setup post sales closure
  • Academic schedule planning and control
  • Faculty allocation and delivery tracking

Program Activation & Execution Control
Once a sale is confirmed, the CRM automatically activates the program by generating a unique Program ID, locking commercial terms, and assigning operational ownership. This ensures zero ambiguity between sales commitments and execution realities. All downstream modules—scheduling, faculty allocation, expenses, and reporting—are enabled only after program activation, enforcing governance and process discipline from day one.

 


Program Scheduling & Delivery Management
Scheduling is the backbone of Six Phrases’ delivery operations. The system enables operations teams to plan, freeze, and control weekly academic schedules with full traceability.

Key capabilities include:

  • Faculty allocation from an approved resource pool
  • Class-wise scheduling with date, time, location, and topics
  • Weekly schedule freezing with approval controls
  • Version history for all schedule changes
  • Exception handling for faculty unavailability

No session can be delivered, billed, or expensed unless it exists in an approved schedule, ensuring audit readiness and accountability.


Faculty Allocation & Delivery Accountability
The platform enforces strict delivery validation. Faculty members are required to submit post-session delivery details including:

  • Topics covered and problems solved
  • Attendance count
  • Session timing and location confirmation

Delivery credit is granted only after successful submission, directly linking execution to billing eligibility and performance metrics. This mechanism establishes clear accountability across faculty, freelancers, and professors.


Expense Management & Financial Discipline
Expense governance is a critical requirement in distributed education delivery. The CRM includes a robust expense management module covering:

  • Travel, stay, food, and operational expenses
  • Class-wise and project-wise expense mapping
  • Approval workflows (Submitted → Reviewed → Approved / Rejected → Paid)
  • Policy-based eligibility rules (local vs outstation faculty)
